Policy
At French Magnolia Cooks, every event is prepared with care, intention, and a great deal of advance planning. Because we reserve your date, purchase specifically for your menu, and prepare your event personally, the following cancellation policy is in place to protect both your experience and our work.
By paying your deposit and final balance, you acknowledge and agree to the policies below.
Client Cancellations
Your deposit is non-refundable and reserves your event date on our calendar.
If you cancel your culinary event before the final payment has been made, you will forfeit your non-refundable deposit.
If you cancel your event after the final payment has been made, all payments made are non-refundable.
Because we commit our date, planning, purchasing, and preparation specifically to your event, we are unable to offer refunds once final payment has been received.
Weather, Road Conditions, and Accessibility
The safety of our team and the practical ability to reach your event location matter greatly.
If severe weather, snow, ice, flooding, unsafe road conditions, or accessibility issues prevent French Magnolia Cooks from safely reaching your event destination, your event will be cancelled. This includes situations where roads leading to your home, rental property, or venue are closed, unsafe, or otherwise impassable.
In those circumstances, payments are non-refundable.
If severe weather is expected in the area where your event is taking place, you may choose to move your event to another location or town that is safely accessible. If we are able to travel to the new location and execute the event as planned, your event may proceed there instead. Additional travel fees may apply depending on the new location.
If French Magnolia Cooks Must Cancel
If French Magnolia Cooks must cancel your event due to circumstances on our side, we will make every reasonable effort to reschedule your culinary event within 90 days of the original event date, subject to our availability.
If we cancel, we will cover the cost of repurchasing and re-prepping the food needed to re-execute the original event.
The rescheduled event must take place:

within 90 days of the original event date
-
on a date we have available
-
at a location we can reasonably reach by car within 6 hours
While we will make every good-faith effort to accommodate a rescheduled date within that time frame, rescheduling remains subject to calendar availability and safe travel conditions.
Event Location Requirements
In order for us to execute your event properly, the event location must meet the following minimum requirements.
1. Functional Kitchen Access
We must have access to:

a working stove
-
a working oven
-
a working sink with running water
-
a standard-size working refrigerator
The kitchen does not need to be elaborate, but all equipment must be present and in good working order. If your home, rental property, or venue does not have the required working kitchen equipment, we may not be able to execute your event, and no refund will be issued.
2. Adequate Dining Space
We must have a dining table arrangement and seating that comfortably accommodates all guests.
We include a beautiful and thoughtful table setting, but the host is responsible for ensuring that the property has adequate table space and one chair per guest. If your home or rental property does not comfortably accommodate your group, you will need to arrange for rental tables and chairs to be delivered in advance.
3. Accessibility and Travel Conditions
Please consider weather, terrain, and access conditions carefully when selecting your event location, especially in mountain, rural, or winter-weather areas.
If a property becomes inaccessible due to snow, ice, flooding, road closures, burst pipes, or similar issues, we may be unable to reach or execute the event. We strongly encourage you to monitor weather conditions closely and plan accordingly.
Client Conduct
We are committed to serving our clients with warmth, professionalism, and care. We ask for that same respect in return.
If a client or guest is verbally abusive, physically threatening, disrespectful, or otherwise creates an unsafe or hostile environment for our team, we reserve the right to cancel or immediately stop the event at our sole discretion.
In such cases:

no refund will be issued

the event may be cancelled or terminated immediately

future bookings may be declined
Agreement to Policy
Payment of your deposit and final balance confirms your agreement to these policies and procedures.
These policies are in place to protect the time, preparation, travel, labor, and hospitality involved in creating your event, while also helping set clear expectations for everyone involved.
French Magnolia Cooks reserves the right to interpret and apply these policies in good faith based on the circumstances surrounding safety, access, event readiness, and our ability to carry out the event as promised.
We have had the privilege of serving many wonderful clients over the years, and it is always our hope to create an experience that feels beautiful, seamless, and deeply memorable. These policies simply help us protect that standard of care for both our clients and our team.
